Thank you for choosing RoMo (“we,” “us,” or “our”). RoMo stands for our website, our Slack application, our Microsoft Teams application and the RoMo admin panel. This Privacy Policy explains how we collect, use, disclose, and store your information when you access or use our services. By using RoMo, you acknowledge  the terms outlined in this Privacy Policy.

1. Introduction and definitions

If you have visited our website, we shall call you a Visitor. If you already decided to start using RoMo service (either the free version or the paid), you could be a User or an Admin. Admins are the people within your company that have installed RoMo to your Slack or Microsoft Teams workspace and have set up RoMo to function for your particular culture values and Users they chose from your company’s Slack or Teams workspace. If you don’t have access to RoMo, and you know your company does, reach out to your RoMo admin.

2. What we collect and why

We collect the minimum necessary information on Visitors, Users and Admins for us to get our job done and provide you with this great service. This means that we need some of your data to personalize some parts of our service for you, or to contact you, or to operate and improve our service. Let us give you more details about this part, by different personas.

    1. Visitors: when you come to our site, you will have the option to accept cookies and similar tracking technologies to enhance your experience and analyze usage patterns. We may for example track where you clicked or how much time you spent on the site, etc. You can adjust your browser settings to refuse cookies or change your choices. Strictly necessary cookies are always on and are used by the website to function properly. From time to time we may use forms for you to fill out, so we can send you some additional information, such as a whitepaper or a webinar invitation. Your participation is voluntary and is grounded on your consent. These forms may ask you for your name and email, your company’s name, location, area of business and size. We use the data collected so you don’t have to fill out similar forms many times, to identify potential new clients and show them our ads when they browse other sites, and to improve our website’s content and functionality. We will ask your consent before we take action for the purposes where consent is necessary.
    2. Users: when an Admin installs RoMo to your company’s Slack or Teams workspace, and give you access to RoMo, you will become our User. RoMo will collect some of your data from Slack or Teams: your avatar (this is the picture you use to identify yourself on Slack or Teams), and your nickname. Admin can also assign tags to you, which are usually the team or function or department you work in, or your seniority, or any other information your Admin may ask from you or have access to via your company’s HR software solutions, for example.  We don’t monitor these tags, so you may have to inquire with your Admin if you’re interested to learn about it.
    3. Admins: you are the person that installs RoMo to your company’s Slack or Teams workspace, and accepting our Terms&Conditions on behalf of your company. For us to be able to execute your contract with us, some of the company’s data will also be transferred from Slack or Teams to RoMo, such as the company logo and name of the workspace, which in most cases is the company name. You will need to set up RoMo to function for your needs, meaning you’ll need to input your company’s culture values and their descriptions, and you will need to import users from Slack or Teams workspace to RoMo. You can choose to import as many or as few as you wish, some people opt to start with a smaller group to test our service first. You will also need to provide us with your billing information, so we can charge you once you engage with us on a paid license deal. You can also choose to use tags within RoMo and split people into teams, or functions, or geographies, or however you choose. Please note that we don’t track the tags or use them for any profiling, and whatever analysis you run by using tags or any other information is up to you.

Overall, we use the information we collect for the following purposes:

  • To provide, maintain, and improve RoMo and its features
  • To respond to your inquiries and provide customer support
  • To send you important notices and updates regarding RoMo
  • To personalize and enhance your experience
  • To analyze usage patterns and improve our services
  • To enforce our terms and policies
  • To protect against fraud, security threats, or illegal activities
  • To comply with applicable laws and regulations

Our website may contain links to other websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control third party websites and are not responsible for their privacy notices.

3. Data storage and retention

We store all data collected through RoMo application on Amazon Web Services (AWS) servers . While we take reasonable measures to protect your information, please be aware that no method of transmission or storage is 100% secure.

We retain your information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. We also retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

When you stop using RoMo, we will retain your data for 6 months, in case you have a change of heart and want to start using again. After that all data will be deleted permanently.

4. Data sharing

We don’t deal with data selling or any such practices. What we collect is used for us to run and improve our service.

We may disclose your information to someone else in the following circumstances:

  • With your consent or as directed by you
  • To comply with legal obligations or respond to lawful requests from authorities
  • To protect the rights, property, or safety of RoMo, its users, or others
  • In connection with a merger, acquisition, or sale of all or a portion of our business
  • To trusted third-party service providers who assist us in operating and providing RoMo, such as:
